YOUNG SOD FARMS INC. PRIVACY POLICY Young Sod's Privacy Principles In the course its commercial activities and, in particular, providing services to its customers, Young Sod Farms Inc. (“Young Sod”) collects personal information about its customers for the purposes of providing services and products to them. In implementing this Privacy Policy Young Sod will limit the collection, use and disclosure of personal information so as to comply with legal and regulatory requirements and improve your total customer experience. Young Sod will only collect the minimum information required to provide products and services to you. How We Collect Personal Information Young Sod only collects personal information by lawful and fair means and only that which is reasonably necessary for the purposes identified. Whenever possible, we collect personal information about clients and of their individuals directly from those parties or through referrals by persons whom such parties have requested to provide us with information. Sometimes we obtain information about you from other sources. Those sources include government agencies or registries, financial institutions, credit bureaus or other third parties that represent they have the right to disclose such personal information. Consent for Collection, Use and Disclosure of Personal Information We may obtain your consent to our collection, use and disclosure of your information either expressly, for stated purposes or implied when the purposes are not stated expressly but are indicated by the relevant circumstances or follow logically from other expressly stated purposes. You may withdraw or amend any consent previously given by contacting our privacy officer, subject to any legal or contractual restrictions and upon reasonable notice to us. Your consent to our collection of certain personal information may be required and allow us to assist you in offering the services we provide. In those circumstances your consent will be necessary. However, we will not require, as a condition of providing a service, that personal information not related to providing such service be collected. Accuracy of Personal Information Since we use your personal information to provide services and products to you, it is important that the information be accurate and up-to-date. If any of the information we have in our possession changes, please inform us so that we can make any necessary changes. Security Young Sod has procedures in place to secure all personal information in our possession. Access to your personal information is limited to those staff members and business partners who require it in order to fulfil your requests. Access Requests We will respond promptly to any requests for access to your personal information. There will be no costs for reasonable requests to such access, unless you request copies of records or your request involves significant retrieval costs. However, Young Sod will not respond to requests for access to personal information that are frivolous, vexatious or repetitious. Return of Personal Information Young Sod will only retain personal information for as long as is required to provide you with the services and products you request, after which all of your personal information in our possession will be destroyed in a responsible manner after a reasonable time. Accountability and Complaint Process In some circumstances, individuals may choose to initiate formal complaints alleging that Young Sod has not complied with the provisions of this policy. In those circumstances, complaints should be made in writing and forwarded to the privacy officer at the information noted below. The privacy officer will proceed to make a formal reply to your complaint to address your concerns and will do so no later than thirty (30) days from the time at which the complaint is received.
